Progressive Jobs

In a progressive job; all talents are shown together with the stages they are in. There are 3 sections within a progressive job;

Stages,
Talents,
Requests.

- Stages -

All talents applied for the job are managed here and they can be viewed according to the active stage they are in.

Stage Management

Talents are moved between the stages by drag-and-drop method. Stages can be also moved to the right or left side from the Stage Menu.

Information button at the top right corner of the talent card should be clicked on to access the talent card.

Assessments Stage

When creating a new job, if “combine assessments and send them at the same time with one mail” option is selected in the section where the job stages are determined; all the assessment tools such as personal inventory or test will be managed under one “assessments” stage and all the assessments will be sent to the talent at the same time with one mail.

Assessment details can be viewed from the stage menu, talents can be added to the stage and e-mails can be sent to the talents.

Talent cards, ratings and comments of the talents in the related stage can be viewed and the talent can be added to the favorites.

Many action can be performed from the stage menu. Assessment details can be viewed, talents can be added to the respective stages, e-mails can be sent to the talents and stage report can be downloaded.

Notifications and Email

Emails/reminders, assessments or assessment results are sent from here. E-mail content can be selected from the e-mail templates which are previously created in the Messages under Content Management section or can be created from scratch. There is also an option of “automatically send the assessment to who has been added to the stage”.

Actions

Due date of the assessment can be changed, assessment links can be revoked or stages can be moved to right or left side from here.

Auto Progress

If a rule is defined for an automated recruitment process; talents are progressed automatically according to the defined rule with the option of “Progress those who complete this stage according to rule”. Predefined rule can be changed and re-runned.

Reports

An excel file can be exported which contains the list of talents within the stage with their related score.

Interview – Assessment Center – Reference Check Stages

Talent cards, ratings and comments of the talents in the related stage can be viewed and the talent can be added to the favorites. If a talent is moved into one of these stages, “Send assessment form” option appears at the bottom of the talent card. Assessor’s name should be filled and assessment form should be selected.

Offer Stage

If a talent is moved into the offer stage, a pop up window appears on the screen in which the recruiter should rate the recruiter insight questions.

Once the recruiter rates the questions, then the talent is added to the offer stage. Recruiter insight result is shown under comments – recruiter insight section in the talent card.

Add an internal candidate

Internal candidates are added to the offer stage by searching among pre-registered candidates and by rating the recruiter insight questions.

Export

An excel file can be exported which contains the offer date and the offer decline reason of the talents.

Send email to the talents

Used for mass e-mailing to all the talents in the stage.

Hired Stage

The date when the talents are added to the hired stage is accepted as the offer acceptance date. Also starting date and email fields are filled. If the job is filled with an existing employee, then “internal candidate” option should be selected.

Once the talent is moved to the hired stage, the emails to be sent are displayed under Survey&Forms-Assessment Forms-Pending list.

Talents in the job can be searched by name; can be filtered as favorites, internal candidates, long list and short list.

Reports, Sharing and Notifications, Actions and Rejected Talents sections are displayed under Job Menu.

Reports

Results Report, Stage Report, Profile Report, Hiring Report and interactive interview responses are provided under reports section.

"Results Report"; includes the test results of the talents (general ability test, motivation and competence report, position profiles report, verbatim report and etc.). All results report, summary report, position profiles report and etc. are downloaded from the Results Report section.

"Stage Report"; shows all the talents according to the stages they are in. In addition all the assessment completion dates, General Ability, English Proficiency, culture fit scores and etc. are also displayed.

"Profile Report"; shows the profile eligibility score of the talents.

"Hiring Report"; shows the request date, hired date and in how many days the request was closed.

“Interactive Interview Responses”; is an excel report contains the answers given by the talents to the interactive interview questions. Report also covers the rater, rating date and score information.

Sharing and Notifications

"Share Long/Short List" option enables the recruiter to share the long/short listed talents with others. With the “Grant access to candidate history and scores” option, “Talent History” tab in the talent card can be optionally shared with the related hiring manager. All the FlowQ movement of the talents within the relevant account and all the processes the talent has been involved can be seen under “Talent History” tab.

Thus, once the hiring manager is given access; he/she is expected to login and will be able to reach all the reports, all previous assessments and interactive interview videos/ratings of the talents.

Talent sharing takes place via email. Long/short listed talents are listed after logging in with the link and pin code shared via email.

List of the shared talents can be displayed under My Page – My Shared section.

Actions

Job details and job information (job title, recruiter, hiring manager and etc.) can be edited with the “Edit” option.

If a job post is created for the job; “Freeze jobpost” and “Re-activate jobpost” options are displayed under actions section.

Position status can be changed as “Active” or “Passive” and the position can be deleted.

Rejected Talents

"Send email"; used for mass emailing to all the rejected talents.
"Export"; used to download an excel file containing the list of the rejected talents and the reason for rejection.

Mass emailing to all the talents marked as rejected is done from here. E-mail content can be selected from the e-mail templates which are previously created in the Messages under Content Management section or can be created from scratch. A file can be attached to the email template and a specific delivery date can be scheduled.

Add Talent

Adding talents can be done through three different ways: Add New, Import and Search.

Add New

In order to add a new talent into a job, the name – surname, e-mail address, language and CV source fields should be filled.

Import

Talents should be added via uploading a file. If the file will be uploaded with a FlowQ format, then name and email are mandatory fields and must be in the first 2 columns. If the file is a kariyernet format downloaded from kariyer.net website, then kariyernet option should be selected. Name-surname and email are also mandatory fields in kariyer.net file.

Search

Talents can be searched within the previously registered talents in the system and the selected talent can be added into the job.

- Talents Section Within The Job-

Job Menu and Sync button are shown next to the job name under “Talents” tab within the respective job. Talents are listed according to the stages they are in and the assessment completion status within each stage can be seen.

Add Talen

Once “Add Talent” button is clicked, “select stage” option appears where the respective stage is selected. Following the stage selection, talents can be added by selecting one of the “Add New”, “Import” and “Search” options.

Talents in the requested stage are listed with the "Select stage" function.
"Search" is used for searching talents.

Once check button next to a talent name is clicked, “move candidates” option appears. By selecting the “Move Candidates” option, talents can be moved to another stage, either individually or collectively.

Statistics, Application Detail and Move Candidates options are displayed in assessment stage menu.

"Statistics" option shows the total, completed, ongoing and pending values of the related assessment.

“Application Detail” option displays the dimensions of the related assessment.
All talents can be moved collectively to another stage from their current stage with “Move Candidates” option.


- Requests Section Within The Job-

Requests added while creating the job or after the job is created are displayed in this field.

Requester, recruiter, request date, total number of request and hired, days left to reach the targeted request closing date are displayed in the request card.

Request can be edited from the request menu with the “Edit” option. When a change is made in the previously created request, the system automatically logs a comment for the related request. There is also a comment field where request related notes can be entered. Request details and all the comments can be viewed from the “Detail” option.

Add New Request

New request is added with the “Add New Request” button.

The target day specifies the targeted day for each person to be hired.

The target date specifies the number of talents to be recruited until the targeted date, especially in mass recruitment.

Non progressive jobs

Only the assessments selected while the job is created are shown in non progressive jobs. If the assessment is shown as blue, it means that the assessment is sent to the talent and if it is shown as green, it means the talent has completed the assessment.

Statistics, Application Detail, Change Deadline, Send a Reminder, Revoke All Assessment Links and Export options are displayed in assessment menu.

"Statistics" option shows the total, completed, ongoing and pending values of the related assessment.

“Application Detail” option shows the details of the related assessment.

“Change Deadline” option is used to change the due date of the assessment.
"Send a reminder" option is used for sending reminder to talents who have not completed the relevant assessment.

"Revoke All Assessment Links" option is used to revoke the assessment links and the access of talents to the assessment.

"Export" option is used to download an excel file which contains the score, sent and completion date of the assessment.
